Alerts & Expiration Management
Stay on top of expiring supplies with configurable alerts and visual status indicators.
Expiration Status Indicators
Items are color-coded based on their expiration status:
| Status | Color | Meaning |
|---|---|---|
| OK | ● Green | Expiration date is beyond the warning threshold |
| Expiring Soon | ● Orange | Within the warning threshold (e.g., 30 days) |
| Expired | ● Red | Past the expiration date |
Configuring Alert Thresholds
- Open Settings from the navigation menu
- Find "Expiration Alerts" section
- Set your preferred warning threshold:
- 30 days: Alert when items expire within 1 month
- 60 days: Alert when items expire within 2 months
- 90 days: Alert when items expire within 3 months
- Custom: Set your own threshold
- Toggle notification preferences
Recommendation: For critical supplies, use a longer threshold (60-90 days) to allow time for ordering replacements. For frequently rotated items, 30 days may be sufficient.
Push Notifications
Receive alerts on your device:
- In Settings, enable "Push Notifications"
- Grant notification permission when prompted
- Configure notification frequency:
- Daily: Summary each morning
- Weekly: Summary each Monday
- Immediate: As soon as items enter warning zone
Viewing the Alerts Screen
Access dedicated alerts view:
- Tap "Alerts" in the bottom navigation
- View items grouped by urgency:
- Expired: Items requiring immediate attention
- Expiring This Week: Items expiring within 7 days
- Expiring This Month: Items expiring within 30 days
- Tap any item to view details or take action
FEFO (First-Expired-First-Out)
The app provides FEFO guidance to minimize waste:
- When viewing inventory, items are sorted by expiration date by default
- When dispensing, the app suggests which lot to use first
- FEFO badges highlight the recommended items to dispense
Best Practice: Always follow FEFO principles when dispensing supplies. Use items with the earliest expiration date first, regardless of when they were received.
Handling Expired Items
When items expire:
- Review the item in the Alerts screen
- Physically locate and remove the expired item
- Open item details and tap "Record Usage"
- Select "Waste - Expired"
- Enter the quantity being disposed
- Add notes about disposal method if required
- Confirm to update inventory
Low Stock Alerts
Get notified when items are running low:
- Open any item's detail screen
- Tap Edit
- Set "Minimum Quantity" threshold
- Save changes
When quantity falls below this threshold, the item appears in Low Stock alerts.
Alert Actions
From the Alerts screen, you can:
- Dismiss: Acknowledge the alert (swipe left)
- Snooze: Remind again later
- Take Action: Go directly to record usage or reorder
- View Item: Open full item details
Expiration Reports
Generate reports for planning:
- Go to Menu › Reports
- Select "Expiration Forecast"
- Choose time range (30, 60, 90 days, or custom)
- View chart showing expiring items over time
- Export to CSV for further analysis
